Name the job you want automated
A booking system can display rates without deciding what those rates should be. Write down the pricing task you struggle with: updating seasonal periods, responding to events or maintaining consistent rules across channels. Do not buy a separate service just because a feature list mentions revenue optimization. First establish whether your current package already provides an appropriate supported tool.
Avoid two rate authorities
Draw where a price originates and where it is distributed. If an outside service, management system and booking channel can all modify the same dates, ask the vendors to explain the intended arrangement. Do not resolve a conflict by repeatedly editing every screen. A visible rate should have a known source and a understood path to the guest-facing quote.
Set boundaries before enabling
Decide who reviews unusual prices, which dates need special handling and how to recognize a stale update. Use the provider’s supported controls and documentation rather than assuming every product has identical settings. Price the whole addition

Evaluate the ongoing review work as well as the quoted charge.
Total cost and a safe review budget
Allocate time as well as subscription money to reviewing unusual outputs. Write down who notices a price outside the intended range and where they make a supported correction. Do not assume a guardrail exists until demonstrated. If the additional service cannot be explained clearly enough for the responsible host to recover from an error, defer activation even if the advertised monthly charge looks attractive.
