Draw four columns
Use field, editing location, receiving system and check. Start with availability, rates, minimum stays and messages. Add the property identifier beside each row so similarly named units do not become interchangeable. This is an original planning worksheet, not a diagram of a specific vendor’s internal architecture. Fill it with the documented behavior of the connections you actually intend to use.
Separate direction from visibility
Seeing a value in two dashboards does not establish that either can safely edit it. Some settings may remain channel-owned while others are managed centrally. Smoobu’s support material explicitly distinguishes where different settings should be changed after connection. Ask the same question of your selected provider. Avoid resolving a disagreement by editing all copies until the screens temporarily match.
Add a check for every change
After a supported update, verify the result at the appropriate receiving surface without creating a real booking or charge. Record when you checked and which property it concerned. If the expected update is missing, follow the provider’s recovery guidance. Do not repeatedly disconnect and reconnect accounts without understanding the effect on existing reservations and future availability.
Keep the map useful
Update the worksheet when adding a channel, changing a pricing tool or replacing a team member. Store sensitive identifiers privately and give each collaborator only the information needed for their role. A clear map reduces ambiguity, but it is not proof that synchronization will never fail. Its value is making a discrepancy easier to identify and explain when it does occur.
A sample map row
An illustrative row might read: owner-use dates; supported editing location to be confirmed; two named sales channels; verify both guest-facing calendars; host responsible. The unresolved editor is intentional until the vendor confirms it. Do not fill the blank with a guess to finish the worksheet. The purpose of the map is to expose missing authority, not conceal it behind a tidy diagram.
