Use your provider’s supported task system or another agreed workflow. Do not equate a task appearing in a calendar with a person having accepted it. Establish how acceptance is communicated before using the process for real turnovers.

Record the answer rather than assuming the system resolves duplicates automatically. Name a backup and a route for reporting a failed handoff. Keep instructions specific enough that another person can find the property and understand the task, but store entry information securely. Do not mark the handoff complete solely because an automated notification was attempted. Keep the old reference available until duplicate or obsolete tasks are reconciled through the supported workflow, without deleting useful history blindly.
