A vacation-rental software demo scorecard

Last materially reviewed 2026-09-19

Quick answerAsk vendors to demonstrate exceptions and recovery using fictional data before trusting an attractive normal-case walkthrough.
What to know

Send a short test brief

Describe your unit count, channels, existing website and the one operational problem that matters most. Ask the presenter to use a fictional property and guest. Do not give them unnecessary live guest records or payment information. A useful demonstration should make the relevant configuration visible, including the subscription tier needed to reproduce it after the call.

What to know

Follow a reservation through changes

Request an ordinary booking, a date alteration, a cancellation and a personal-use block. At each step, ask where the authoritative record lives and which connected systems are expected to update. Write down any manual action. Do not assume that seeing a confirmation screen establishes delivery to every channel or proves that all connected calendars changed successfully.

What to know

Score explanations, not confidence

Use three statuses: demonstrated, documented but not demonstrated, and unanswered. Keep the latter two distinct. A salesperson’s reasonable promise to investigate is not a failure, but it is not a pass either. Record the question and the follow-up owner. This prevents a confident presentation style from outranking a clear but less theatrical answer.

What to know

Close with recovery and exit

Ask what happens during a delayed synchronization, an unavailable team member and a decision to leave the service. Request documentation for exporting records and preserving upcoming reservations. Stop before any live payment, listing change or calendar connection unless separately intended. Select the product with the best supported fit for your requirements, not the one that completes the most entertaining demonstration.

What to know

A reusable evidence row

Create one row reading: changed checkout date; expected property and dates; original reservation reference; screen demonstrated; receiving channel checked; unresolved question; follow-up owner. Use fictional values during the sales demonstration. Keep the row incomplete if the receiving side was not shown. This simple original record distinguishes a convincing explanation from an operation you actually observed reaching its intended destination.
