Define the records you need
List upcoming stays, unresolved guest issues, relevant payment references and property configuration. Ask the provider which records can be exported through supported methods and in what form. Do not assume a download contains everything visible in the interface. Preserve the original export and inspect a sample before treating it as a complete recovery resource.
Map the dependencies
Identify the website, channel connections, email routes and outside tools that rely on the account. Cancellation can have consequences beyond losing a dashboard. Ask how each dependency should be transitioned and when access ends. Avoid substituting a guessed disconnect sequence for the provider’s instructions, especially while future reservations remain active.
Separate billing from operational cutover
Stopping renewal, transferring the workflow and preserving records are distinct tasks. Record who is responsible for each and what proof marks it complete. Do not cancel an account simply because a new import succeeded. Reconcile the important records and supported connections first, within the conditions of the existing agreement.
Keep the decision evidence
Save the configuration, quote, relevant terms and reasons for leaving in an appropriate private record. This helps the next evaluation use observed requirements rather than frustration alone. We do not claim that any vendor guarantees a complete reversible migration. An exit plan reduces uncertainty by making the missing answers visible before they become urgent.
An exit record with a verification step
Use one row per dependency: channel connection, website component, unresolved reservation or outside integration. Record its current owner, destination after transition, supporting instruction and completion evidence. Include what remains accessible after cancellation and for how long only when the provider confirms it. A saved file is not automatically a usable backup, and an available fallback is not automatically a complete restoration procedure.
